There are a couple of ways you can create your own distribution lists. You can build your own list in Fuseworks or upload a spreadsheet of your own contacts.

Uploading your own list is quick, easy and any lists or contacts you upload can only be seen by you and others in your organisation. You’ll need to keep the details for your private contacts up to date.

HOW TO UPLOAD MY OWN DISTRIBUTION LIST

Step 1 – Click ‘Distribution lists’ in the left hand navigation.

Step 2 – Click ‘Upload private contacts (CSV spreadsheet)’ from the ‘Actions’ box on the right.

Step 3 – Follow the steps in the ‘Upload profiles’ overlay.

Complete the spreadsheet – The spreadsheet contains instructions on how to fill it out. At a minimum you’ll need to include the type (e.g person or organisation), a name and an email address if you want to send them media releases. Once you’ve entered your contacts into the spreadsheet, save it as a .csv

Choose which list you would like the contacts added to – You can add contacts to an existing list (by choosing a list from the drop down menu) or create a new one (by leaving the drop down list blank).

Choose your completed CSV file to upload – Click ‘Choose file’ and find your completed CSV file to attach.

You can check out the distribution list you’ve uploaded by clicking the second tab which will be called [Name of your organisation] lists.

  • You can rename your lists. Open the list by clicking into it, then click on the name in the grey bar at the top. Rename the list and hit enter/return on your keyboard and the list name will update.

HOW TO UPLOAD A PRIVATE CONTACT

Step 1 – Click ‘Distribution lists’ in the left hand navigation.

Step 2 – Click ‘Add private contact’ from the ‘Actions’ box on the right.

Step 3 – Follow the steps in the ‘Create profile’ overlay.

Profile type – Choose either ‘Person’ or ‘Group’ (for a company or organisation) from the drop down menu.

Then enter the contacts details into the other fields. At a minimum you’ll need to enter a name and an email address if you want to send them media releases.

Step 4 – Click ‘Create’

  • You can add the contact to one of your distribution lists. Click ‘Manage list’ at the top right of the overlay and click the name of the list you want to add the profile to (e.g Hamilton media) and a green tick will appear. Or you can start a new list, simply type the name of your new list into the text box (where it says ‘New list name + Enter’) and hit enter/return on your keyboard.

  • You can star distribution lists you use frequently and they’ll be automatically added for each release (you can remove lists by clicking the ‘X’ next to them). To star a distribution list, click on ‘Distribution lists’ in the left hand navigation, click into the list and click the white star – it will turn green and move to the top of the lists.

  • You can make distribution lists for your newsletters to go to as well. To make sure you don’t accidentally send a newsletter to a media distribution list you’ll need to choose the lists you want to be able to send to. To make a distribution list available for newsletters, click on ‘Distribution lists’ in the left hand navigation, click into the list and click the white envelope – it will turn green and now be available in the ‘Email to list’ menu when you’re building a newsletter.
